01The client
About Attica Gold Company
Attica Gold Company is an Indian gold-buying enterprise founded in 2013. It now operates about 150 branches across five Indian states, with a large skilled and unskilled workforce spread across urban and rural areas.
At that scale, HR is not an administrative side function. Accurate attendance, correct salaries and properly staffed branches are what keep every location open and operating.
02The system before
The system before: workbooks, paper and messaging apps
The HR team managed employee details in separate workbooks and paper files, while the recruitment department relied on printouts and WhatsApp messages. The result:
Attendance and salaries
The HR team was occupied the whole month calculating attendance and salaries for the entire workforce by hand.
Leave and substitutes
Leave management and substitute allocation were always last-minute arrangements, delaying business operations.
Leave and overtime requests
Employees had no proper channel to apply for leave, and overtime had no reliable way to be calculated.
Recruitment
The recruitment team was entangled in responses from multiple platforms, without a way to surface quality candidates.
Employee welfare
HR and recruitment had no bandwidth left for employee welfare or work-culture development.
When payroll takes the whole month, HR has no time left for the people it exists to support.
03The risk
Why it was risky to change
Payroll is the process no organization can afford to get wrong, and at Attica it touches every employee in every branch.
RiskPayroll accuracy
Salaries depend on attendance. Automating salary calculation on top of unreliable attendance would only automate the errors, so both had to be right together.
RiskA distributed workforce
Employees work across urban and rural branches, and some check in at more than one branch. Attendance had to be verified by location and still recorded against the right employee.
RiskEveryday usability
A mixed skilled and unskilled workforce needed an app simple enough to use every day, at every branch.
RiskPolicy compliance
Onboarding had to follow company policy consistently, whichever branch or city a new hire joined.
04The architecture
The architecture: a mobile-first HR platform with a recruitment pipeline
We designed the platform around one source of attendance truth. Employees check in through a mobile app that verifies their location against a geofence, so attendance is recorded at the point of work rather than reconstructed afterwards. Everything downstream, from salary reports to branch, city and state dashboards, is calculated from that record.
Recruitment runs as a second pipeline on the same platform. Job listings are created and approved through a workflow, candidates apply through their own portal, recruiters filter applicants with granular criteria, and every listing carries its own interview tracker through to policy-compliant onboarding.
What we engineered
-
Employee mobile app
Geofence-based attendance, leave management and employee profiles in one app.
-
Attendance engine and HR dashboard
Automatic attendance calculation, employee-wise records across multiple branch check-ins, and a real-time dashboard for HR executives.
-
Branch, city and state reports
Daily, weekly and monthly attendance reports at every level of the organization.
-
Automated salary reports
Salary reports generated directly from attendance data, with 100% accuracy.
-
Recruitment pipeline
Job listings with an approval workflow, an applicant portal, granular filters and an interview tracker for each listing.
-
Policy-compliant onboarding
New hires onboarded consistently with company policy, with training material included.
Key tradeoffWe made location-verified attendance the foundation before automating payroll. Getting the input right first meant the salary reports could be trusted from the start, instead of automating the old errors.
05The results
The results
Because employees now inform leave in advance through the app, branch operations and tasks are planned with the staffing picture already in view.
06Is this your situation?
Is your organization facing the same pattern?
This architecture applies to any multi-location organization where:
- Attendance and payroll are compiled manually from branch records.
- Leave and cover are arranged at the last minute, and operations absorb the delay.
- Recruitment runs on email, printouts or messaging apps across several job platforms.
- HR capacity goes into administration rather than people.
Lending networks, retail chains and service organizations with distributed teams face the same pattern. An architecture audit shows where your HR workflows lose time and what automating them would return.
07Questions
Frequently asked questions
How does geofenced attendance work?
Employees check in through a mobile app that confirms they are inside the geofenced boundary of their branch. Each check-in is recorded against the employee and the branch, including for employees who work across more than one branch.
How were salary reports automated?
Salary reports are generated from the attendance record itself, replacing a calculation that used to take the HR team the whole month. The auto-generated reports are 100% accurate.
How did the platform shorten recruitment?
Listings follow an approval workflow, candidates apply through a dedicated portal, recruiters filter applicants with granular criteria, and each listing has its own interview tracker. The recruitment timeline fell by 40%.
Does this approach work for other multi-branch organizations?
Yes. The architecture depends on a verified attendance record and a structured recruitment pipeline, not on anything specific to gold buying. It applies to any organization running a distributed workforce.
