Mahalakshmi Traders: Moving a 5,000-Product Retailer From Paper to Cloud Billing and Inventory

For more than 20 years, Mahalakshmi Traders has supplied hardware, electrical and plumbing fittings, construction materials, paints and tools across its region. Billing and accounts still ran on paper. We are engineering a cloud billing and inventory platform with a real-time MIS dashboard for the business's stakeholders.

What is TriadKube building for Mahalakshmi Traders?

TriadKube is engineering a cloud-based billing and inventory platform for Mahalakshmi Traders, a Virudhunagar retailer with more than 5,000 products, a 15,000 square foot outlet and supply to 3,300+ civil projects a year. A Windows billing application with customizable stock units and low-stock alerts replaces handwritten bills, and a web-based MIS dashboard gives stakeholders a real-time view of the business. The engagement is in development, and outcomes will be published once they are measured.

Key takeaways

  • Handwritten bills are replaced with system-generated billing, supporting tax compliance.
  • Inventory is tracked with customizable stock units and conversions, with alerts on low stock.
  • Digital billing records give B2B accounts an accurate basis for outstanding balances.
  • A web-based MIS dashboard gives stakeholders a real-time view of the business.

01The client

About Mahalakshmi Traders

Mahalakshmi Traders has supplied hardware, electrical fittings, plumbing fittings, construction materials, paints and tools in its region for more than 20 years.

The business stocks more than 5,000 products in a 15,000 square foot outlet and supplies over 3,300 civil projects every year, serving walk-in and B2B customers from the same counter.

02The system before

The system before: handwritten bills and paper accounts

The business had outgrown the paper records it was built on:

  1. Billing

Bills were written by hand, making it hard for the business to stay tax compliant.

  2. Inventory

With no inventory management system, products were under-ordered and over-ordered.

  3. B2B accounts

Outstanding balances for B2B sales were calculated from paper receipts, and the figures were inaccurate.

With 5,000 products and thousands of projects a year, paper can record a sale but it can't run the business.

03The risk

Why it was risky to change

A counter serving thousands of products and customers can't stop billing to change systems.

  • RiskContinuity

Billing has to keep running at the counter throughout the transition.

  • RiskUnit complexity

Hardware and building materials are bought and sold in different units, such as boxes, lengths, weights and pieces. Stock only stays accurate if the system converts between them correctly.

  • RiskCompliance

Moving from handwritten to system-generated bills is a compliance change as well as a technical one, and it has to be right from the first bill.

  • RiskOpening balances

Existing stock and customer balances start on paper, so opening figures must be established carefully before the system can be trusted.

04The architecture

The architecture: cloud billing at the counter, real-time visibility everywhere

We are building a fully functional, cloud-based billing and inventory platform with a Windows application at the counter. Stock units are customizable, with conversion between the units the business buys and sells in, and the platform raises alerts when stock runs low.

Alongside it, a web-based MIS dashboard gives the business's stakeholders a real-time view of operations, without anyone needing to be at the outlet.

What we engineered

  • Windows billing application

Cloud-based billing at the counter, replacing handwritten bills.

  • Customizable stock units

Configurable units with conversion between how products are bought and sold.

  • Low-stock alerts

Alerts raised when stock runs low, so reordering is planned rather than reactive.

  • Real-time MIS dashboard

A web-based view of the business for stakeholders, wherever they are.

Key design decisionA Windows application at the counter for speed and familiarity, with data held in the cloud so stakeholders see the business in real time from anywhere.

05Success measures

How success will be measured

This engagement is in development, so we are not publishing outcomes yet. Results will be reported against the current baseline once the platform is in use. These are the measures that matter:

  • Billing compliance

The share of sales billed through the system, ready for tax compliance.

    Result to be published
  • Stock-outs and overstock

How often products are under-ordered or over-ordered.

    Result to be published
  • B2B outstanding accuracy

How closely outstanding balances match what customers actually owe.

    Result to be published
  • Time to management reports

How long it takes stakeholders to see sales and stock.

    Result to be published

06Is this your situation?

Is your organization facing the same pattern?

This architecture fits established retailers and distributors where:

  • Bills are handwritten or typed into disconnected tools.
  • Reordering depends on someone noticing an empty shelf.
  • Customer credit balances live on paper.
  • Owners can't see today's sales and stock without being on site.

An architecture audit maps what a move off paper would involve for your business, and what it would return.

07Questions

Frequently asked questions

Why move from handwritten billing to a cloud platform?

Handwritten bills make tax compliance hard to maintain, and paper records can't show stock or outstanding balances in real time. A cloud platform records each bill once and makes it available for inventory, accounts and reporting.

What is stock unit conversion?

Many hardware and building products are bought in one unit and sold in another. Configurable units let the system convert between them, so a sale of part of a pack reduces stock correctly.

Who is the MIS dashboard for?

The business's stakeholders. It is web-based and shows the state of the business in real time, without anyone needing to be at the outlet.

When will results be published?

When the platform is in use and results can be measured against the current baseline. We publish measured outcomes, not projections.
